What is Private Duty in a Box?

Keep Safe Care Affiliate Franchisees get access to a fully integrated backend software application, also known as Private Duty in a Box, supplied and supported by Keep Safe Care which incorporates all aspects of running private duty agency online. Keep Safe Care Direct is our platform we use to recruit and curate caregivers through our Affiliate system. This system is under continuous development and improvement, and each Affiliate will have immediate access to any software enhancements and to all improvements with no additional fees. Below is a listing of some of the system benefits found the our unified Private Duty in a Box platform.

Caregiver Recruitment, Curation, Management, and Payroll

According to the National Association of Home Care & Hospice (nahc.org), the number one overhead cost in running a private duty Agency is in finding, recruiting, managing, scheduling, and paying a Caregiver. Taken together, on average, recruiting ($71,810) and personnel needed to manage caregivers ($346,110) account for more than half of the operating expenses associated with managing a typical private duty agency. The Keep Safe Care Private Duty in a Box system provides a caregiving curation system that is unique in the industry, which eliminates the recruitment costs completely, and reduces the personnel needed for recruitment by 90%. Affiliates will no longer need to place ads to recruit Caregivers. Instead, an Affiliate will have immediate access to a pool of Caregivers from which to choose from, with continuous recruitment upon the addition of new Clients.

Client Matching

One of the main capabilities delivered with our Private Duty in a Box is we give power to both the Caregiver and Client when forming a working relationship. When an Affiliate gets a new Client (client), the Client’s needs are instantly matched online with the ALL the Caregivers in the area, and you will be able to see the top 6 matches (but also be able to see all the caregivers in your area). You can review the profiles of the candidate Caregivers and select the top 3, and then propose these to the Client for their review and selection. In addition, you can let a prospective Caregiver know what type of care is needed and if they would like to work for this particular Client prior to a formal interview. An Affiliate now has access to dozens of Caregivers, so this matching is a huge differentiator in the market.

Reduced Truancy and Turnover – The 2/3 Rule

Truancy and turnover of Caregivers are known, significant problems with the Private Duty industry, standing at 25% and 83% respectively, as cited by the National Association of Home Care and Hospice (nahc.org). The Private Duty in a Box Caregiver Curation system has shown to reduce both to under 2%. By giving the Caregiver more choice in their working environment, paying them a higher hourly rate, and allowing shorter driving distances, Caregivers are more likely to feel empowered and to stay working with the Client. We can afford to pay a higher rate and offer more flexibility because our system cuts overhead costs by 50%. With less Caregiver turn over, you will not need as many Agency employees to manage Caregivers, directly reducing your overhead.

Integrated scheduling, billing, collections, and payroll

All of the back-office functionality is completely integrated and automated with the Private Duty in a Box software. As an Affiliate, your focus will be to sign up Clients and hire Caregivers. Once a Care-Pair is made and scheduled, easy-to-use electronic tools are provided that automates Caregiver check-in (via mobile geo-location app), billings, collections (via credit card), and payroll. The Keep Safe Care system leaves you free to do what you do best, and that is care for people.

Auto generated care plan on line that a Caregiver signs off on tasks

A unique feature of the Private Duty in a Box system is that we are the only private duty system that creates an online care plan that is signed off by Caregivers as they complete their tasks via their mobile phone. A daily care plan is sent to each Caregiver to review prior to beginning their scheduled shift.

Caregiver Curation, Managing, and Ratings

One of the salient features of the Private Duty in a Box Caregiver curation system is the Caregiver rating and number of hours worked. As an employer, can include their rating as part of your assessment of a prospective Caregiver. This may serve as an indicator on the reliability of the caregiver. We also have a “Do not hire” feature that blocks any undesirable caregivers from any matches you are looking to make with clients.

Geo-location of check in and check out at residences

This is a proprietary feature found only with Keep Safe Care’s Private Duty in a Box. Our system can check in / check out Caregivers automatically at the location they are scheduled to work, thus reducing fraud and no-shows. An Affiliate will be able to see the location of all their Caregivers on a map along with the Clients’ location and be notified if a caregiver is not going to be at their scheduled location prior to the caregiver being late. This notification can also be extended to the Client.

Mobile Compatibility

The Keep Safe Care Private Duty in a Box system is mobile-enabled, and all of your Caregivers will need to be mobile-capable to be employed by an Affiliate. This is a requirement to be a fully integrated and real-time system. This mobile capability is extendible to the Care-Circle members of an Affiliate’s clients.
